Full-Time ADMINISTRATOR – SHORT TERM CONTRACT – FEMALES ONLY
We are on the lookout for an Administrator on a Short Term Contract basis (4-6 months) for our well reputed Overseas client company project based in Sri Lanka.
WORK BASE LOCATION: COLOMBO
Day to day running of Project Office in Colombo
Setting up / arrangements for Accommodation & Transportation for visiting employees as and when needed
Maintain employee attendance
Company / Lease vehicle overall maintenance and keep the valid documents in place.
Responsible for PO/PR/Invoice/GRN booking and payment to vendor with coordination with Project team
Maintaining, Preparation getting on time approval of office expenses.
Maintain office Assets & IT equipment’s record
VAT vouchers collection and submission to relevant govt authorities
Coordination with vendors for bill submission and validate their bills with PO for GRN
Local vendor development, Local procurement for office use
Managing the Notice boards / display boards (Safety Alert, HSE & QSE Message communication, Organization announcement should display office notice board)
Inventory Maintenance for Office and Guest house assets.
Arranging for Hotel bookings to the visiting guest and for staffs going to outstations
Manage insurance, bank guarantee documents and track for their renewal
Prepare required documents for Insurance claim if needed
Manage inventory of required stationeries for office and handle courier communication.
Collection of payments, cheque deposits to banks etc…
Managing printing of required document and segregation of document for submission
Follow up with subcontractors for document submittal and approval status tracking.
Submission of project document, drawings to customer and obtaining approval.
Interact with internal stake holder to collect required As-built document and submission to client
Track and record keeping of approval submission, acceptance and resubmission.
Consolidate invoice documentation and submission of Invoice to Customer
Maintaining the Project Documents, component transport related documents, payment related document and ISO & IQMS project related files and keep the separate rack at office.
Maintain personnel, legal, and administrative records
Maintain VISA and WP status and coordinate with PMO for renewal
Open, sort, and distribute incoming correspondence, including courier and fax
Transmit all notices by the contract compliant methods (i.e. Online system, fax, post etc. – minimum requirements to be determined by CM)
Track review and ensure response times from documents and correspondences from client as defined in contract
Monthly reporting of documentation submission, approval, due and overdue to PM and relevant stakeholders
Monthly closing of admin and accounts book records
Work in close coordination with other site admins and stakeholders

Any bachelor’s degree preferred of BUSINESS ADMINISTRATION
Minimum 05 years of experience in independently handling office admin and document controller role. (Trainee Experience will not be considered)
Good Knowledge of Accounting
Proficiency in SAP will be an added advantage.
Fluency in English in both written and verbal communication.
Execellent MS Office skills.
AGE LIMIT 25-40 years old
Salary: Negotiable. (depending on experience).
